Assigning income and expenditure to the right unit
A budget may be prepared by account, cost centre, project or department. Actual records need the same dimensions for a comparison at that level. The budget structure therefore needs to relate to accounting and operational records.
Assumptions behind the amount
A sales budget can change because of quantity, unit price or exchange rate. Changing only the total makes a later variance harder to explain. Keeping the business's assumptions separate makes the target understandable.
The approved budget and latest forecast stay distinct
Expectations can change during the year. Overwriting the approved budget with the new forecast removes the original baseline. Version, period and ownership information make clear which comparison is being presented.
Variance analysis needs a link to accounting
Budget and actuals are mapped through comparable account groups. Accruals, payments and order commitments describe different stages. If the point at which an expense counts as actual is unclear, the variance may not describe what management expects.
ERP controls and analytics have different roles
Logo Cloud's current options include budget control, with scope dependent on the package. BI solutions analyse and compare records. The presence of a variance dashboard does not mean that budget entry or spending approval is also managed there.
Scope follows the planning requirement
A department budget for one company and consolidated plans for several companies involve different work. Entry, approval, versions and reporting are defined separately. The existing ERP, analytics tools or an additional solution can then be assigned clear responsibilities.
